How to Work Offline with Files that are Not Checked Out

If you need to work offline and have not checked out the files in advance, you can still edit the files offline and then check them in when you have access to the GroupShare Project Server again. To edit them offline, the files must be downloaded from the server.

  1. Edit the files offline:

  • If you choose to open a document for translation, review or sign-off in the Check out dialog box, the Open the file without checking it out is automatically selected. Click OK and the file is opened in offline mode. In this mode you can edit the file, but it is not checked out from the Project Server.

  • If you choose to run a batch task on the Files page of the Batch Processing wizard, select the check box next to each file name to perform the batch task on that file. Files that have not been downloaded from the server or are checked out to someone else are not available for selection.

NOTE

If you need to create a package to send work to team members who have no access to the Project Server, you must be connected to the Project Server.

  1. When you are able to connect to the Project Server again and have finished editing the files, right-click on the files in the Files view and select Check Out.

  1. Right-click on the file again and select Check in. Your locally modified changes are uploaded to the server.
