User Type Permissions
Users derive their User Interface permissions from the User Type to which they are assigned. Use Management > User Setup > User Types to manage permissions for each User Type. These permissions govern activities or behaviors that map to UI actions in WorldServer.
Each row in the following tables corresponds to a user interface control that has a check box for enabling it. The permissions themselves are nested at the bottom level of this user interface hierarchy. The check boxes work hierarchically: if you select (or clear) a check box, everything nested below it is also selected (or cleared). If you select a permission at the child level, all levels under which the permission is nested are selected. The converse of this is not true: if you clear a check box, the check boxes for the levels above this permission remain selected.
It is therefore advisable, if you want to create a User Type for a specific purpose, to work from the bottom up. For example, if you want to create a User Type for a user who will use the WorldServer Browser Workbench to translate assets, but you don’t want this user to be able to affect your translation memories, start by selecting the following permissions:
  • "In Browser Workbench" button
  • Can save asset
  • Home Tab
Note: If the Home Tab is not selected, the user with this User Type cannot access the WorldServer user interface, and will see the message “You are not allowed to access this page. Click the Back button to return to the previous page.”
With these minimal permissions, a user of this User Type can log into WorldServer and perform a translation using the Browser Workbench. However, this user will not see the Save and Update TM button.
For AIS properties, Translation Memories, Terminology Databases, and Scoping/Costing Reports, User Type permission can be used in combination with Access Control Lists (ACLs) to further control who can do what. See the TM, TD, and Cost Model security topics for information about how ACLs can be used.
Note: Generally, the Admin user has full TM, TD, Cost Model, and AIS access control list (ACL) access with one exception: the WorldServer Explorer. If the ACL for the AIS node does not allow read permission to any user including Admin, then WorldServer displays a "You do not have read permission for this asset." message when you click on the AIS node in Explorer. This happens even if you log in as Admin. To resolve this issue, administrators can go to Management > Asset Interface System > View and Change Properties and reset the ACL.
Home Tab
Permission
Description
Announcements
This permission alone allows users to access the WorldServer Home page, which, if the permissions below it are not given, will contain only Useful Links for:
  • WorldServer Product Documentation.
  • Download WorldServer Launcher for Windows for editing assets using a third-party application.
  • Download WorldServer Desktop Workbench.

Can post announcements
This permission allows users to post announcements to communicate general information to the users in your locale and workgroup.

Can post HTML announcements
This permission allows users to post announcements containing valid HTML.

Can delete announcements
This permission allows user to delete announcements they have posted.
Can access the Content Wizard
This permission allows users to Create/Upload an asset and Edit an existing asset from the WorldServer Home page. First, however, someone must have configured a Content Category for the AIS path in which the asset resides. This AIS path must have a locale assigned to it, and a default workflow. To edit an asset, you must also have installed the Launcher on your client machine.
Note: This permission only takes effect if display_content_wizards=true in general.properties.
Can create projects
Gives access to the Upload Files and Create Project page for creating projects. Unlike the way you create projects from Explorer > Project > Create Project , the files do not need to already be located in the appropriate AIS directory, and the AIS folders (for all locales) and properties do not need to have been configured ahead of time.
Assignments Tab
In the Assignments tab, you can:
  • View projects and tasks and complete your assignments.
  • View issues associated with a task or assigned to a user or workflow role.
  • Log issues assigned to a user or workflow role.
  • Monitor and manage the queue of jobs running in the background.
  • Monitor and manage the queue of tasks in the Workflow Engine Queue.
This is the primary tab that translators and reviewers use to pick up their assignments and that project managers use to monitor and manage jobs and tasks.
Permission
Description
Projects
Gives access to Assignments > Projects

View drop-down menu
This permission allows users who are Client Managers or Client Users to select views that list all the “projects for the clients they manage or clients they belong to. ”
Tip: All users can see projects assigned to them or to their workflow role (“projects assigned to me”) regardless of permissions assigned.

Can view active projects assigned to user's locale and workgroup
This permission allows users to select the project view to show all active projects assigned to the user's locale(s) and workgroup(s).

Can view completed and canceled projects assigned to user's locale and workgroup
This permission allows users to select the project view to show all completed and canceled projects assigned to the user's locale(s) and workgroup(s).

Can view all active projects
This permission allows users to select the project view to show all active projects for all locales and workgroups.

Can view all completed and canceled projects
This permission allows users to select the project view to show all completed and canceled projects for all locales and workgroups.

This permission allows users to view scoping information for a project via View scoping information in Assignments > Projects > Task List . There is a different permission ("Scope" option) for scoping assets in the Explorer tab.

Can view scoping information for other vendors
With this permission, the user can see scoping information if the cost model associated with the project is assigned to a vendor other than the one to which the user is assigned.

Can view costing information
With this permission, the user can see monetary information in scoping reports for projects that have an associated cost model.

Can view excluded/canceled tasks
With this permission, the user can see scoping information for all canceled tasks.

"Change Attributes" button
This permission allows users to modify a project's attributes via the Change Attributes button in Assignments > Projects . When you select a project and click Change Attributes, the project attributes that are defined in Management > Administration > Customization appear in the dialog box.

"Cancel" button
This permission allows users to cancel a selected project via the Cancel button in Assignments > Projects .

"Change Priority" button
If you have this permission, you can change the priority in the workflow queue of all the tasks within a project via the Change Priority button in Assignments > Projects in the project list, or of individual tasks from More Options > Task Options > Change Priority in the task list. Note that you cannot change the priority of a running task; you can only change the priority of a task that is in queue, waiting to run.

"Tree View" option
This permission allows users to use the Tree View in Assignments > Projects . When you view the project list in Tree View, you see the project list organized by project groups. A project group consists of two or more projects that share the same name and workgroup, are created at the same time and contain the same assets, but have different locales. When you switch to Tree View, the toolbar buttons switch to those for the task list page.

Tasks
This permission groups the permissions for the View options in the task list page ( Assignments > Projects > Task . These options are also in the Assignments > Projects page when Tree View is selected.
The view applies to the tasks within the selected project.
If Task is selected, but none of the permissions underneath it is, a user of that User Type will see only tasks assigned to that user, and the view drop-down menu will not appear.
Most of these views are of interest to project managers only. All users should see their own tasks. Some translators might want to see the state of tasks that are assigned to other users, so they can adjust their schedule accordingly; but the typical translator, author, reviewer, or editor is interested only in tasks assigned to them.

View drop-down menu
This permission allows users to select a view that lists the following, depending on the permissions granted, for the selected project:
  • all tasks
  • assigned and claimed tasks
  • active tasks
  • completed and canceled tasks
  • tasks on human steps
  • tasks on automatic steps
  • tasks on error steps
  • tasks on cancel steps
  • tasks on parallel review steps
  • tasks on sub-workflow steps

Can view all tasks
This permission is most appropriate for project managers and administrators.

Can view assigned and claimed tasks
This permission is a base view for all users. It controls two views in the Assignments > Projects > Task view drop-down list:
  • all tasks claimed by me
  • all tasks assigned to me
These are grouped together because you cannot claim a task unless it is assigned to you.

Can view active tasks
This permission is most appropriate for project managers and administrators.

Can view completed and canceled tasks
This permission is most appropriate for project managers and administrators. It controls two views in the Assignments > Projects > Task view drop-down list:
  • completed tasks
  • canceled tasks
These are grouped together because you need to see both completed and canceled tasks to get a full picture of tasks that are not active.

Can view tasks on human steps
This permission is most appropriate for project managers and administrators. Project managers can use it to monitor which human steps await action.

Can view tasks on automatic steps
This permission is most appropriate for administrators. Project managers can use it to monitor which automatic actions are in progress.

Can view tasks on error steps
All users should be able to see if their tasks encounter errors. Project managers can use it to monitor all errors in workflows.

Can view tasks on cancel steps
This permission is most appropriate for project managers and administrators. Project managers can use it to monitor tasks that users have canceled. When a user cancels a task, the task proceeds to the Cancel step in the workflow. This Cancel step can have an automatic action associated with it. The workflow executes the automatic action, if any, and then proceeds to Finish. With “Can view tasks on cancel steps” enabled, the task will appear in the task list, marked with a status of Canceled.

Can view tasks on parallel review steps
This permission is most appropriate for reviewers, project managers, and administrators, to monitor the status of parallel reviews.

Can view tasks on sub-workflow steps
This permission is most appropriate for project managers and administrators, to monitor the status of sub-workflows.

"Create New Project" button
This permission enables the Create New Project button in the Projects List page. This button leads to the Upload Files and Create Project page for creating projects where, unlike the way you create projects from Explorer > Project > Create Project , the files do not need to already be located in the appropriate AIS directory, and the AIS folders (for all locales) and properties do not need to have been configured ahead of time.

"Claim" button
This permission, when enabled, displays the Claim button, which prevents multiple assignees from working on an asset simultaneously.

"Unclaim" button
The Unclaim button allows a user to whom a task is assigned to free an asset from exclusive use by the user that claimed it.

"Edit/Translate" button
The Edit/Translate button permission governs whether the user can open the asset in the Browser Workbench, the Desktop Workbench, or a supported editor, depending on which of these are enabled and configured. To open an asset in one of the translation workbenches, the appropriate setup must be in place: Launcher, AIS mount, locale, linkage, and so on.

"In Browser Workbench" button
The In Browser Workbench button launches the translation workbench in the browser.

"In Desktop Workbench" button
The In Desktop Workbench button launches the WorldServer Desktop Workbench offline, prompting you to send a translation kit containing the asset or assets and any associated translation memory and terminology database.

"In External Editor" button
When an asset associated with a task is part of a project that does not use linkage, it can be edited externally, using the Launcher. The Launcher enables WorldServer users to edit WorldServer assets in external applications on their machine, such as PTC ArborText Editor, Adobe FrameMaker, Microsoft Word, Macromedia HomeSite, and Altova XMLSpy. The In External Editor button launches the configured editor for the file type. For XML files, the Launcher defaults to XMLSpy. For HTML files, it defaults to MacroMedia HomeSite. You must have the application in your Path.

"Export" button
The Export button allows you to export translation kits for offline work. It is primarily for translators.

"Import" button
The Import button allows you to import to WorldServer translation kits you have worked on offline. It is primarily for translators.

"Complete" button
The Complete button is necessary for a task to move from a human step to the next step in the workflow. All users who perform human steps (translators, reviewers, authors, editors) must have this permission.

"Cancel Tasks" button
Certain task assignees should be given Cancel Tasks permission, so they can cancel tasks that do not need to be completed and are no longer part of the project. This permission allows you to cancel only tasks you have claimed

Can cancel tasks claimed by other users
This permission allows users to cancel not only your own claimed tasks, but also those claimed by others.

"Update" button
This permission is required for the Update button to appear in the Task List when a “tasks with changed assets” view is selected. The update feature allows you to add updates to tasks of currently ongoing projects without losing any translation work that has already been done. See the "Project Update" topic in either the WorldServer online help system or in the WorldServer User Guide.

"Change Assignees" button
This permission is most appropriate for project managers, so they can change assignees after project creation.

"Change Due Date" button
This permission is most appropriate for project managers, so they can adjust the due dates for tasks.

"Change Properties" button
This permission enables the More Options > Assets Options > Change Properties dialog in the Task List, and allows you to change the properties of the task assets. For this permission to be enabled, you must also have enabled Management > Asset Interface System > View and Change Properties .

"Download" button
This permission allows you to download task assets via Assignments > Projects > Task List > More Options > Asset Options > Download . If you want to translate offline and then import your translations, use the Export feature instead.

"Upload" button
This permission allows you to upload task assets via Assignments > Projects > Task List > More Options > Asset Options > Upload .
When you download assets from a task list, they carry a full AIS path (for example, /ais/en_US/foo/bar/zoo.txt). You are expected to upload a zip file containing the same full path. Therefore, upload is done directly to the AIS root (/) and the full path ensures that all assets go to the right locations. The intended use of the download and upload features is to download assets, work on them offline and then upload them back. This is normally used for tasks other than translation tasks. For example, image localization is suited for this approach.

"Change Attributes" button
This permission allows you to change task attributes via Assignments > Projects > Task List > More Options > Task Options > Change Attributes . Task attributes are different from project attributes. The attributes must have been defined in Management > Administration > Customization with Task selected.

"Move Tasks" button
You can move tasks to either an existing project with the same locale or to a new project via Assignments > Projects > Task List > More Options > Task Options > Move Tasks
Issues
Gives access to Assignments > Issues .

View drop-down menu
This permission allows users to select a view that lists the following, depending on permissions granted:
  • all issues
  • issues for tasks claimed by me
  • issues assigned to me
  • issues assigned to me and issues for tasks claimed by me
  • issues assigned to both my locale and my workgroup
The "all issues" permission is the broadest of these. It allows you to see every issue, regardless of to whom it is assigned. This permission should be treated carefully because it allows a user to see a broad range of information.

Can view all issues
This permission allows you to view all issues, both task (logged for a particular task ) and independent (assigned to a user or workflow role).

Can view issues assigned to user's locale and workgroup
The "issues assigned to both my locale and my workgroup" filter allows you to see issues that are not currently assigned to you but are substantially related to your work. These might be assigned to you in the future or they were assigned to you in the past. These are issues that are related to your work, but that are not currently assigned to you.
Quotes
This permission allows you to access Assignments > Quotes and view quotes in the system.

Can create Quotes
This permission allows you to create quotes for Clients. If you do not have this permission and try to add a quote, you get a message like this:
Error You are not permitted to
create Quotes.

Can override client settings for quote approval
This permission allows you to change the quote-approval settings during quote creation. Enable this setting to allow users to override client setting for a manual or workflow-based quote approval process, as well as change workflows and workgroups for workflow-based quotes.

Can manually change quote status
This permission allows you to edit the quote status, which is necessary for the Manual quote-approval process. (If you want client users to edit the quote status from TransPort, be sure to enable the Can approve quotes manually permission under the TransPort section.)
> Important: If you grant this permission, be aware that the user can also edit quotes. Disable this permission to prevent users from changing quote status or editing quotes.

Can update approved quotes
This permission allows you to update approved quotes.
> Important: If you grant this permission, be aware that the user can change approved quotes, which may invalidate the quote agreement. Disable this permission to prevent users from updating previously approved quotes.
Background Jobs
Gives access to Assignments > Background Jobs .

Can create background jobs
This permission enables you to run the following types of jobs in the background:
  • Import translation kits
  • Import Translation Memory

Can create foreground jobs
You may want to allow some users to create both background and foreground jobs. In this case, enable both "Can create background jobs" and "Can create foreground jobs".
There may be some users who should always create jobs in the background. In this case, enable the background option and disable the foreground option. When users submit jobs in the foreground, the jobs will always be queued up and handled serially, thus reducing the potential for overwhelming your application server.

Can view all background jobs
This permission is most appropriate for project managers and administrators, to monitor the process of jobs. If you have this permission, in addition to your own jobs, you can see:
  • all active jobs
  • all completed and canceled jobs
  • all jobs on hold
If you do not have this permission (but do have the top level Background Jobs permission), you can see only:
  • my active jobs
  • my completed and canceled jobs
  • my jobs on hold

Can cancel, hold, or resume any background jobs
This permission enables the Cancel, Hold, and Resume buttons in Assignments > Background Jobs .
The permission is most appropriate for project managers and administrators, to manage all the jobs in the background job queue.
Placing a job on hold means preventing it from starting even if it reaches the top of the background queue. To release the hold on the job, resume it. Canceling a job means removing it from the background queue.

Can cancel, hold, or resume the user's background jobs
This permission enables the Cancel, Hold, and Resume buttons in Assignments > Background Jobs . Give this permission to User Types who need to manage their own jobs.

Can change priority of any background jobs
This permission enables the Change Priority button in Assignments > Background Jobs .
This permission is most appropriate for project managers and administrators, to manage the background job queue, allowing them to change the order in which jobs will be processed.

Can change priority of the user's background jobs
This permission enables the Change Priority button in Assignments > Background Jobs . It gives permission for users who need to manage their own jobs.
Workflow Engine Queue
Gives access to Assignments > Workflow Engine Queue .
The Workflow Engine Queue allows you to monitor the status of automatic steps from projects across the WorldServer environment. Depending on your privileges, you can see all the tasks in projects that belong to you, or you can view tasks from all projects in the system.

Can view all tasks
This permission is most appropriate for project managers and administrators, to manage the queue of automatic actions. All users are allowed to see their own tasks in the queue. This permission allows the User Type to see all tasks in the queue.

Can cancel all tasks
This permission is most appropriate for administrators, to manage the queue of automatic actions. It controls access to the button that cancels waiting tasks in the task queue; by default, only the Administrator User Type has this privilege.

Can change priority of all tasks
This permission is most appropriate for administrators, to manage the queue of automatic actions. It controls access to the button that changes the priority of any waiting tasks in the task queue; by default, only the Administrator user type has this privilege.
Explorer Tab
The WorldServer Explorer allows you to manipulate and work with assets and folders. In the Explorer, you add folders and assets, scope assets, and create projects. In addition, if you need to edit, translate, or export an asset without creating workflow and a project, you can do so in Explorer. Typically, however, translating and reviewing are done as tasks in a workflow. Therefore, the User Types for Translator and Reviewer do not have the Explorer permission enabled by default.
Permission
Description
Assets Menu
Gives access to Explorer > Assets .

"New" option
With this permission, users can create a new folder or asset from the WorldServer Explorer. For example, the user can create a new target folder or asset for a file system mount. Typically, this permission is given to project managers and administrators only.

"View" option
This permission enables the asset viewer: Explorer > Assets > View . This permission is typically enabled for everyone.

"Delete" option
With this permission, users can delete a folder or asset from the WorldServer Explorer. Typically, this permission is given to project managers and administrators only.

"Download" option
With this permission, users can download to their computer a folder or asset from the WorldServer Explorer.

"Upload" option

"Unlock" option
This permission allows users to unlock assets or folders. Typically, this permission is given to project managers and administrators only. Users can unlock folders or assets only if they locked them, unless they have administrative privileges. Assets are automatically unlocked when assets or tasks are imported.

"Properties" option
This permission is most appropriate for administrators and project managers, for the purpose of setting properties (locales, translation memory, encoding, ACLs, and so on) for assets.
Versioning Menu
Gives access to Explorer > Versioning . This menu appears only if you have a version control connector configured (for example, ClearCase).

"Check In" option
This permission is most appropriate for authors, project managers, and administrators. Translators and reviewers typically do not check out and check in files. Instead, version control is handled by automatic actions in the workflow.

"Check Out" option
This permission is most appropriate for authors, project managers, and administrators. Translators and reviewers typically do not check out and check in files. Instead, version control is handled by automatic actions in the workflow.

"Undo Check Out" option
This permission is most appropriate for authors, project managers, and administrators. Because version control is handled by automatic actions in the workflow, project managers are the most likely to undo a checkout in a translation project.

"History" option
This permission is most appropriate for authors, administrators, and project managers, for the purpose of monitoring assets. With it, you can view an audit trail of asset modifications.

"Compare Versions" option
This permission is most appropriate for authors, administrators, and project managers, for the purpose of monitoring assets and resolving version issues.

This permission is most appropriate for administrators and project managers, for the purpose of monitoring assets.

"Merge / Rebase" option
This permission is most appropriate for administrators and project managers, for the purpose of organizing assets.

"New Branch" option
This permission is most appropriate for administrators and project managers, for the purpose of organizing assets.
Edit Menu
Gives access to Explorer > Edit , from which you open assets in the workbenches and can perform copy and search operations on the assets selected.

"Copy" option
With this permission, you can copy folders or assets from one location in the WorldServer Explorer to another. This can be useful when you want to copy the directory structure of the top-level source folders to establish target folders.

"In Browser Workbench" option
The In Browser Workbench button opens the selected asset in the WorldServer Browser Workbench. This permission is typically enabled for project managers and administrators—and translators and reviewers if you want them to translate using the browser workbench. If the "In Browser Workbench" option and "In Desktop Workbench" option permissions are both enabled, this is presented as a drop-down menu. To make it quicker for a user, you can enable only the one they are likely to translate with, and they will be presented instead with a Translate button.

"In Desktop Workbench" option
The In Desktop Workbench button launches the WorldServer Desktop Workbench, exporting the selected asset in a translation kit. This permission is typically enabled for project managers and administrators—and translators and reviewers if you want them to translate using the desktop workbench. If the "In Browser Workbench" option and "In Desktop Workbench" option permissions are both enabled, this is presented as a drop-down menu. To make it quicker for a user, you can enable only the one they are likely to translate with, and they will be presented instead with a Translate button.

"In External Editor" option
The In External Editor button opens the selected asset in the editor configured in Tools > Personal Preferences . This permission is typically enabled for content creators.

"Find" option
With this permission, if your assets are stored in a repository whose connector supports the search function, you can search assets for a particular word or phrase.
Tools Menu
Gives access to Explorer > Tools . Asset tools in the Explorer allow users to manage asset properties or search assets for text strings. You can also import and export assets and indexes though the Tools menu.

"Submit" option
Gives access to Explorer > Tools > Submit .
This option is meant for submitting source assets in WorldServer; it is not meant for translations. When you submit this source, WorldServer creates a project that submits assets you have locked—or all assets—in the selected path. Then whomever is passed the assets for approval in the workflow receives them unlocked. The permission is intended primarily for Authors, though there are scenarios where other users would need it.

"Export Translation Kit" option
The Explorer > Tools > Export/Import > Export Translation Kit option is for exporting assets to work on offline. Translators, however, typically use the export option from the Assignments tab.
To export source assets, they must have linkage established.

"Import Translation Kit" option
After you translate assets offline, you can use the Explorer > Tools > Export/Import > Import Translation Kit option to import the assets into WorldServer. Translators, however, usually use the import option from the Assignments tab.

"Property Search" option
Property search allows you to search for AIS nodes that have a custom property set to a particular value. It searches custom properties only. This feature can be useful for authors.

"Clear Segment Cache" option
With this permission, you can perform ad hoc clearing of the segment cache for selected assets.

"Linkage Editor" option
This option allows you to create links between your source and target content. It is typically used by administrators and perhaps project managers.
Project Menu
Gives access to Explorer > Project . The Project menu in the WorldServer Explorer provides tools related to projects rather than to individual assets. Project tools allow you to scope an asset, create a new project, or add to a project. These features are most useful for project managers.

"Scope" option
With this permission, project managers can scope assets to determine how many words are in a particular folder or asset. However the user will not see how much translation will cost, based on a selected cost model, unless they also have the Can view costing information permission.

Can view costing information
Without this permission, the user will not see monetary information in scoping reports.

"Create Project" option
With this permission, project managers can create projects using Explorer > Project > Create Project . Without the Can create projects for all workgroups permission, you can create projects only for workgroups to which you belong.

Can create projects for all workgroups
With this permission, project managers can create projects for any workgroup.

"Add to Project" option
With this permission—intended primarily for project managers—you can add new tasks to existing projects with the same target locale. If there is an update to a file that is already in a translation project, you can add the updated file to the existing project. If the translator begins to work on the outdated task, a warning appears saying that the source asset has been updated. The translator can delete the outdated task, and instead work on the new task.
Note: In WorldServer 9.0, The “Add to Project” functionality in WorldServer Explorer cannot be used to add updated assets for active tasks to ongoing projects. The “Add to Project” feature can be used for adding brand new assets to projects as in previous versions of WorldServer, and will continue to work as before.
The error messages reported by “Add to Project” when an attempt is made to add an asset to the project that is already being used by an active task alerts you to use the new Project Update feature by appending to the error message the sentence: “You can use the Task Update functionality to tell WorldServer to pick up the changed asset.”
Tools Tab
The Tools tab contains the following feature sets:
  • Translation Memory and Terminology Database use and modification
  • Personal Preferences
  • Reports
Permission
Description
Term Databases
Gives access to Tools > Term Databases , in which, if you have the specific permissions, you can view a terminology database, add a terminology database entry or term, edit a terminology database entry or term, delete a terminology database entry or term, view a terminology database entry history or term history, or import or export a terminology database.
With the WorldServer security features for terminology database management, you have the following capability:
  • You can restrict translators' write permission to terms in their own languages while allowing them to view terms in other languages.
  • You can set up users with limited modify permission: they can edit individual terms, but they can't execute wide-ranging operations like purging the term database.
  • You can define term entry or term attributes that are specific to one or more term databases. Someone editing a term or term entry will see only attributes that are relevant to that term database.
  • You can limit access of a term database to specific users or groups. Read and modify permissions can mix: someone might have modify permissions for one term database but only browse permission on another and absolutely no access to a third term database.
This capability is achieved through a combination of:
  • User Type permissions
  • Attribute masking (specified per TD)
  • Access Controls (specified per TD)
For information on how to use these three techniques to enforce security on your TDs, see the "Terminology Database Security" topic in the WorldServer online help system or in the WorldServer Administrator Guide.

Can browse TD
This permission allows you to browse a terminology database. This is useful for translators, reviewers, and project managers.

Can view terms outside user's locales
With this permission, you can configure users who will be able to see terms in all languages. However, you control their ability to modify terms outside their own locales with Can modify terms outside user's locales.

Can modify TD
This permission allows you to modify terms. This is useful for terminologists (your TD expert).

Can modify term statuses
This permission, in combination with the ACL write permissions specified for a TD, allows you to modify term statuses.

Can modify terms outside user's locales
With this permission, you can configure users who will be able to see terms in all languages, but modify only terms in languages for which they have permission. If you do not have modify permission for a language, the usual modification operations (edit, delete, change status) will not be available for terms that you are viewing in that language, and you will not be able to create new terms in that language. This option is not selectable unless Can view terms outside user's locales is also selected.

Can delete terms
This permission controls whether a user can delete terms. If you have this permission, you can delete individual terms.

Can delete results set

This permission controls the availability of the attribute filter editor in Tools > Term Databases > Term Database: <TD> .

Can submit proposals
This permission controls whether a user can submit proposals. It can be given to users who do not have TD write privilege.
Translation Memories
Gives access to Tools > Translation Memories , in which, if you have the specific permissions, you can perform the following:
  • Purge Translation Memory
  • Export TMX entries
  • Import TMX entries
  • Search and use the result set to perform exports of all returned entries and to delete entries
  • Search and replace
Translation memory in WorldServer has the following security features:
  • You can restrict users’ write permissions to updating or adding TM entries during the translation process, but disallow them to edit TM entries directly.
  • You can set up users with limited modify permission: they can edit individual TM entries, but they can't execute wide-ranging, bulk operations like purging the TM database.
  • You can define TM entry attributes that are specific to one or more TM databases. Someone editing a TM entry will see only attributes that are relevant to that TM database.
  • You can limit access of a TM database to specific users or groups. Read and modify permissions can mix: someone might have modify permissions for one TM database but only read permission on another and absolutely no access to a third TM database. For example, you can allow a user to only browse or leverage against a TM, while that same user may have full modify permissions in another TM. You can assign permissions to a user group, thus allowing the users associated with that group to gain permissions or have their permissions restricted based on that user group. If the user is assigned explicitly to an object, then user groups can be used to add additional permissions, but not to restrict, since the users rights are not provided solely by the user group.
This capability is achieved through a combination of:
  • User Type permissions
  • Attribute masking
  • Access Controls
For information on how to use these three techniques to enforce security on your TMs, see the "Translation Memory Security" topic in the WorldServer online help system or in the WorldServer Administrator Guide.

Can browse TM
This permission allows you to browse a translation memory from Tools > Translation Memories: <TM> . This is useful for translators and project managers. A translator can also view translation memory entries from the translation workbenches.

Can modify TM during upload
This permission allows you to modify translation memory entries only during the upload of a translation kit to WorldServer. If this option is set, when you upload the translation kit, you are presented with the additional option: Update the WorldServer Translation Memory? If you choose to do so, the kit import will update the TM. If you allow full access, users can modify, delete, and see other TM entries. If you switch all the other TM permissions off and only leave this one enabled, you limit users to uploading their own work for their own assets that they are assigned to work on.

Can modify TM
This permission allows you to modify translation memory entries from Tools > Translation Memories: <TM> . Grant this permission to your linguist (translation memory expert). To protect your TMs from corruption, you might give this to Reviewers (and make your linguist a Reviewer), but not to Translators.

Can import entries into TM
This permission controls the availability of the Import TM from TMX File button in Tools > Translation Memories > Translation Memory: <TM> .

Can delete entries from TM

Report Center
Gives access to Tools > Report Center , in which you can view and create reports on WorldServer activity.
Machine Translations
Gives access to the Tools > Machine Translations page, in which you can use configured machine translation adapters for translation. This does not give you the ability to configure the MT adapters. For that you need the MT Configurations permission in the Linguistic Tool Setup group of the Management tab.
Management Tab
The Management tab contains most of the administrative configuration options of WorldServer, where you can configure:
  • Your asset interface system, including mounts, locales, and linkage
  • Users and user types
  • Workflows for your processes
  • Linguistic tools—Translation memories, terminology databases, machine translation adapters, filter configurations, scoping configurations, cost models, and quality models
  • Business rules
  • Workgroups and vendors
Typically, only administrators have these permissions.
Permission
Description
User Setup
Gives access to Management > User Setup , in which you can add and modify users and User Types.

Clients
Gives access to Management > User Setup > Clients , in which you can add and modify clients.

Users
Gives access to Management > User Setup > Users , in which you can add and modify users. User permissions depend on the User Type to which the user is assigned. This permission allows you to modify any user in the system, no matter which workgroup they belong to.

Can modify users from user's workgroup only
If you want the user to be able to modify only users in his or her workgroup, set this permission. A user with this permission set can be thought of as a “restricted user.” A restricted user cannot see and manage the Admin user regardless of the groups assignment.
When a restricted user creates a new user or modifies an existing user:
  • Available selection of locales, workgroups and workflow roles is limited to the restricted user’s locales, workgroups and workflow roles respectively.
  • Available selection of user types is limited to user types used by all users from the restricted user’s workgroup. In other words, a restricted user can create and modify user type only for a user type already used by other users in his or her workgroups.
  • A new or modified user created by a restricted user must be in at least one of the workgroups. An unrestricted user can create users not belonging to any workgroup.
Note the following:
  • A restricted user can take himself or herself out of a workgroup. This will cause all users in this workgroup be inaccessible to the restricted user unless they share at least one other workgroup with the restricted user.
  • If a restricted user changes a user type for a user and there is no other user with this user type in the restricted user's workgroups, then this user type cannot be used by the restricted user.

General Options
Permission
Description
Browser Workbench
This permission groups the permissions with which you can control what a user can do in the Browser Workbench. When you select this permission, the children permissions Can save asset, Can save asset and update TM, and Can split and merge segments are also enabled. You can enable the ones just mentioned in any combination.

Can save asset
This permission controls whether you can see the Save button in the Browser Workbench. The Save button saves the in-progress translation and generates a new copy of the target document but does not update the translation memory.

Can save asset and update TM
This permission controls whether you can see the Save and Update TM button in the Browser Workbench. The Save and Update TM button saves the asset and updates the translation memory with new matches. However, you must also have the Can Modify TM permission enabled. If you have Can save asset and update TM but not Can Modify TM, you will not see the Save and Update TM button.
Tip: If you want someone to be able to propose translations, but force someone else (your linguist) to approve the translations, you can set up the User Type to exclude the Can modify TM permissions. This user would then only have the Save button available. The administrator could then set up a second user who has Can modify TM permission, and that user would see the Save and Update TM button. Conversely, the administrator can give a user access only to the Save and Update TM and disable the Save button.

Can split and merge segments
This permission controls whether you can use the Split segment and Merge segment icons in the Browser Workbench.

Can comment or report errors on locked segments
This permission lets you enter comments on segments that are locked, and report errors on those segments.

Can clear error
This permission (enabled by default for all user types except Transport) lets you clear errors reported for the segment.
Click and Edit
Gives access to the Edit button in the Viewer, when you select an asset and click View. If the file type is supported for Edit, you can edit the individual segments in the file using this “Click and Edit” editor.

Can edit placeholders
When this permission is enabled, a placeholder editor section is appended to the segment editor in the Click and Edit editor.
Can unlock assets locked by other users
This permission allows you to use Explorer > Assets > Unlock to unlock assets other users have locked. This permission is intended to handle the emergency situation where you need to unlock an asset and the user that has it locked is unavailable (for example, that user is on vacation).
Web Services
This permission is required to run all SDK Web Services. Anyone with Web Services permission can use all the APIs exposed in the system SDK Web Services library over the Web, so this permission must be granted carefully.

Can remove objects using Web Services
Disabling this permission, which is automatically enabled when you enable the Web Services permission, removes the ability of users with this user type to use Web Services to delete objects.
TransPort
Though TransPort is run as a separate interface from WorldServer, its permissions are set in WorldServer.
Tip: You can create a Client Manager User Type especially for Client Managers so they can log into TransPort. For example, open a Project Manager User Type and enable all the TransPort permissions along with the project manager permissions. Rename and save. For more information, see Setting Up User Type Permissions for Client Managers, Setting Up User Type Permissions for Project Managers or Setting Up User Type Permissions for TransPort.
